Using the Collections

Because of the rare and fragile nature of the collections, there are special regulations to protect and preserve materials for future use

Researchers are required to show a picture ID card to use the resources of the Archives.

Researchers will be asked to complete the Application for Using Archival and Special Collections form before using materials.

Researchers are responsible for safeguarding material made available to them in the reading room.

Pencils and loose paper must be used when taking notes. Researchers may use a laptop, but unfortunately wireless access is not currently available for individuals who are not members of the Phillips Academy community.

Researchers should not lean on, write on, fold, trace, or handle the papers, books or other historical materials in any way that may damage them.

Duplication of Materials

The Academy Archivist reserves the right to refuse copying, scanning or any other form of duplication of materials due to preservation, privacy or copyright concerns or due to time and staffing issues.  All attempts to supply information will be made, but please understand that resources are limited and large copying and scanning projects may be outside of our abilities.  Photographs of materials are permitted as long as they are approved by the Academy Archivist.

Publication

The Oliver Wendell Holmes Library at Phillips Academy is committed to supporting research, teaching, scholarship, publication and artistic production involving use of the Archives and Special Collections materials. To remove barriers to such uses, it is not necessary to seek the Academy’s permission as the owner of the physical work to publish or otherwise use public domain materials that the Archives and Special Collections has made available online from its collections. This applies whether your use is non-commercial or commercial.

The Phillips Academy Archives and Special Collections assumes no responsibility for infringement of copyright. Researchers assume full responsibility for any legal questions that may arise as the result of their use of materials in the collections.
